Top Words for Great Service: The Words Customers Want to Hear

The words your employees use matter. They shape how customers feel about every interaction and can be the difference between a transaction they’ll forget and an experience they’ll remember.

Customer service isn’t just about solving problems. It’s about making customers feel confident they’re in good hands. The language your team uses plays a big role in creating that confidence. Our latest customer service research uncovered the words customers most often associate with a great service experience.

The Findings

Five Words That Define Great Customer Service

  1. 1

Helpful Is Still the Most Powerful Word

When customers describe a great service experience, the word they use most often is helpful. That shouldn’t surprise anyone. Customers don’t contact you because they want a conversation. They contact you because they need help. They want someone who understands their problem, takes ownership, and makes it easier to reach a solution. The best service isn’t complicated. It’s simply helpful.

  2. 2

    Fast Still Matters

Customers appreciate friendliness, but they also appreciate speed. Our research found that 78% of customers associate fast service with a great customer experience. That doesn’t mean rushing customers through the conversation. It means respecting their time. The faster you remove friction and solve the problem, the better customers feel about doing business with you.

  3. 3

Friendly Never Goes Out of Style

Technology continues to evolve, but one thing hasn’t changed. Customers still want to interact with people who sound like…people. More than six out of ten customers prefer a friendly, conversational tone over language that sounds overly formal or scripted. Professional doesn’t have to mean robotic.

  4. 4

    Knowledge Builds Confidence

Few things frustrate customers more than being transferred from person to person because nobody seems to know the answer. Customers value employees who are knowledgeable and confident. When your people understand your products, policies, and how to solve problems, customers notice. Confidence creates trust, and trust creates loyalty.

  5. 5

    Easy Wins Every Time

Perhaps the biggest takeaway from this year’s research is how much customers value simplicity. More than 83% of customers say an easy experience makes them more likely to come back. Customers don’t want to work hard to do business with you.

What Customers Value Most

78% associate fast service with a great customer experience.
62% prefer friendly, conversational interactions over formal scripts.
83% say an easy experience increases the likelihood they’ll return.

Interesting Finding

Customers rarely describe great service as “professional.” Instead, they use words like helpful, easy, friendly, and fast. That doesn’t mean professionalism isn’t important. It means customers remember how you made them feel, not whether you sounded like you were reading from a corporate script.

What This Means for You

Actionable Language Strategies

Speak Like a Human

Customers don’t want canned responses.

Simple phrases like “I’ll take care of this” or “Let’s get this fixed” are often far more effective than polished corporate language.

Train for Confidence, Not Scripts

The best service representatives aren’t the ones who memorize responses.

They’re the ones who understand the business well enough to solve problems with confidence and communicate naturally. Knowledge creates speed and speed creates a better experience.

Make Easy Your Goal

Customers rarely rave about policies. They rave about experiences that were easy. Every process, policy, and conversation should answer the question, “Did we make this easier for the customer?”

“Customers don’t remember every word you say. They remember how easy you made it to do business with you. Helpful, friendly, knowledgeable, fast, and easy are the language of a great customer experience.” Shep Hyken

The Bottom Line: Great customer service doesn’t require complicated language. It requires people who are helpful, knowledgeable, friendly, responsive, and focused on making life easier for the customer. They’re the qualities customers remember and the reason they come back.
